Our commitment to your privacy

HeartSoundMind Consulting ("we," "us," "our") is committed to protecting the privacy of your personal and health information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and the ACT Health Records (Privacy and Access) Act 1997.

What information we collect

  • Contact details, including your name, address, phone number and email address
  • Health information relevant to your care, including referral details, assessment results, session notes and treatment plans
  • Medicare, NDIS or private health fund details relevant to billing and rebates
  • Any information you provide to us through our website contact form, such as your name, email address and the details of your enquiry

Why we collect it

We collect this information to provide clinical psychology services, process referrals and rebates, communicate with you about appointments, and meet our professional and legal record-keeping obligations as registered psychologists.

How we store and protect it

Your information is stored securely in our practice management system and clinical files, with access restricted to staff directly involved in your care. We retain client health records for at least seven years from the date of your last consultation, or, for clients who were minors at the time of treatment, until they turn 25, in line with standard health record-keeping requirements. Records are then securely destroyed.

Who we may share it with

With your consent, or as required by law, your information may be shared with:

  • Your referring GP or paediatrician
  • Medicare, your private health fund, or the National Disability Insurance Scheme (NDIS), for billing and rebate purposes
  • Other treating health professionals involved in your care, where relevant and with your consent
  • Regulatory or professional bodies, where required by law

We do not sell your information or use it for marketing purposes.

Accessing or correcting your information

You may request access to, or correction of, your personal information at any time by contacting us and we will respond to your request within a reasonable timeframe, generally within 30 days.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal obligations. The most recent version will always be available on this page.
